Privacy Policy

This policy explains what information the Greenville Roleplay Junction (“GVRPJ”, “we”, “us”) website collects and how it’s used. The short version: the site itself has no accounts and doesn’t ask you for personal information. Most of what you share with GVRPJ goes through Discord, Roblox or Google, and their privacy policies apply.

Information we collect

• Forms you submit. Applications embedded on this site (such as the Staff Application) and department applications are Google Forms. What you enter, such as your Discord or Roblox username, age and answers, is collected by Google and shared with GVRPJ staff who review applications.
• Discord applications. Civilian and Fastpass applications run through Discord bots such as Appy inside our server. Those are covered by Discord’s privacy policy and the bot’s own policy.
• Emails you send us. If you email [email protected], we receive your email address and whatever you include in your message.
• Analytics. We use Google Analytics to understand how the site is used, such as which pages are visited. Google Analytics uses cookies and collects information like your device, browser, approximate location and pages viewed. You can opt out with Google’s opt-out browser add-on.
• Hosting logs. Like most websites, our hosting provider may automatically log basic technical information, such as your IP address, browser type and the pages requested, to keep the site running and secure.

How we use it

We use application answers to review and respond to applications, emails to reply to you, and technical information to keep the site working. We don’t sell your information, and we don’t use it for advertising.

Cookies

The site doesn’t set its own cookies. Google Analytics sets cookies as described above. Embedded or linked services such as Google Forms, Google Fonts and our icon provider (jsDelivr) may set cookies or receive your IP address when their content loads. To show our live member count, your browser also asks Discord’s public API for GVRPJ’s member numbers, which shares your IP address with Discord. No account information is sent. You can block or clear cookies in your browser settings.

Third-party services

We rely on these services, each with its own privacy policy: Google (Forms, Docs, Sheets and Fonts, and Analytics), Discord, Roblox, jsDelivr, TikTok and Instagram. When you follow a link to one of them, you leave our site and their policy applies.

How long we keep information

Application responses and emails are kept for as long as they’re needed to handle your application or request, and for reasonable record-keeping afterwards. You can ask us to delete them at any time.

Children

GVRPJ requires members to be 13 or older, and staff applicants must be 14 or older. We don’t knowingly collect personal information from children under 13. If you believe a child under 13 has sent us information, email [email protected] and we’ll delete it.

Your choices

You can ask to see, correct or delete the information you’ve sent us through our forms or by email. Just email [email protected] with your Discord username so we can find it. Information held by Discord, Roblox or Google is managed through those services.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
